Medtronic is hiring a Front Office Assistant responsible for being the first point of contact for our company, i.e.: welcoming guests and greeting visitors to the Company, internal and external, offering administrative support across the organization, and coordinating front desk activities, e.g.: logging visitors and creating visitor badges, directing visitors as appropriate to their hosts/meetings, receiving and distributing correspondence, receiving and redirecting phone calls, managing office supplies/inventory.

You will also ensure that the front desk welcomes guests  positively, and executes all administrative tasks to the highest quality standards.

A Day in the Life
•    Greet and welcome guests as soon as they arrive at the office
•    Create visitor badges
•    Direct visitors to the appropriate person and office
•    Answer, screen and forward incoming phone calls
•    Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
•    Provide basic and accurate information in-person and via phone/email
•    Receive, sort and distribute daily mail/deliveries
•    Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
•    Order front office supplies and keep inventory of stock
•    Assist with meeting room bookings and updating the meeting room calendar
•    Ensure that guidelines to household rules are followed and procedures for meeting rooms, catering, etc. are also properly adhered to
•    Provide ad-hoc assistance to colleagues as requested and helping as required
•    Coordinate the order of business cards with our supplier
•    Act as point of contact for all Xerox printers in the building - provide support in respect of 
•    managing the changes of ink cartridges or any technical issues
•    Assist with the operational activities for company cars and link with our service supplier on car delivery, returned, services on tires, cleaning. 
•    Maintain documents related to car handling.

Must Haves
•    Commercial School Certificate/CFC.
•    3 – 5 years of experience in Front Office / Reception. 
•    Customer service, customer care experience.
•    Fluency in both English, and French.
•    Good communication skills.
•    Ability to maintain composure and remain professional in difficult situations.
•    Loyalty, compassion, empathy, dedication and discretion.
•    Multi-tasking skills with ability and flexibility to manage stressful situations.
•    Ability to remain calm and balanced in difficult circumstances especially customer-facing.
•    Ability to exercise good judgement in sensitive situations.
•    Comfortable with MS Office and software tools and general office equipment.

Nice to Haves
•    Education in Hospitality Management / Ecole Hoteliere. 
•    Fluency in another language (in addition to English).
•    Rxperience in customer service, hotel guest services, conciergerie or front desk or tourist services.
